What EvaMax is

EvaMax provides two phone agents to trades businesses. Eva answers inbound calls to a business and books work into that business's software. Max makes outbound calls on a business's behalf to follow up on quotes the business has already sent. This policy covers the evamax.ai website and the service.

When a business uses EvaMax, that business is the controller of the data about its callers and clients. EvaMax processes that data on the business's instructions.

Calls are recorded

Every call handled by Eva or Max is recorded, transcribed and summarised so the business can review it. Where the law requires that callers be told a call is recorded, the disclosure is built into the call and cannot be switched off separately from recording. Callers who ask are told they are speaking with a virtual assistant.

Recordings, transcripts and summaries are held for the business and are available to it in full. They are not used to train models for other customers.

What we collect

From callers: the phone number, the audio of the call, what was said, and the details given on the call such as name, address and the nature of the job.

From the business: the information Eva learns from its website and documents, its schedule and availability, the contents of its quotes and invoices where Max is used, and the credentials that connect EvaMax to its software.

From this website: nothing. The site sets no cookies and loads no third party analytics or tracking scripts. Booking a walkthrough happens on cal.com, which has its own privacy policy.

Consent and do not call

Consent given on a call is written to a record that cannot be edited afterwards. Anyone who asks not to be contacted is removed from both phone and text at once. Outbound calls are placed at reasonable hours in the client's own time zone, with a limit on how often anyone is contacted.

Where the data goes

To run a call, audio and text pass through telephony, speech and language model providers. To do the work, EvaMax reads and writes to the software the business has connected: field service platforms such as Jobber, Housecall Pro, ServiceTitan and AccuLynx, Google Calendar, GoHighLevel, QuickBooks, Slack, SMS and Stripe. Each of these is a separate service with its own terms. Credentials are encrypted and are never exposed in a browser.

EvaMax does not sell personal data.

How long we keep it

Recordings, transcripts and summaries are kept for as long as the business is a customer, and for a period after so it can retrieve its records, unless the business asks for earlier deletion. Consent and do not call records are kept for as long as they are needed to honour them.

Your rights

If you called a business that uses EvaMax and want to know what was kept, correct it, or have it deleted, contact that business. If you cannot reach them, contact EvaMax and we will help. If you are a business customer, you can request an export or deletion of your account data at any time.

Cookies

This website does not set cookies and does not use analytics. If that changes, this section will say what is set and why, and non essential cookies will be off until you turn them on.

Contact

The quickest way to reach us is to book a call. Legal and privacy requests can be raised on that call or in reply to any message from EvaMax.
